For complex and device-led products. Add a small Device Performance table linking device functions to dose delivery tests and limits. If your dossier relies on in-vitro performance (e.g., IVRT, IVPT, APSD), state method purpose, acceptance criteria, and Module 3 links in one or two lines. Keep language plain and measurable.
Pattern 5 — Regional and Placement Errors: US, EU/UK, Japan, and eCTD Hygiene
Reviews slow down when content is placed in the wrong section or when regional copies drift. Common examples: a QOS cites a document that sits under the wrong 3.2 leaf; EU or UK copies use decimal commas but also change numbers; Japan copies translate names differently; or the submission uses the wrong lifecycle operator (new vs replace) so the history looks broken. Minimum controls that work. (1) Parity validator that compares QOS tables to Module 3 by ID and fails the build on mismatch; (2) traceability linter that blocks claims without IDs and report links; (3) navigation check for TOC, bookmarks, table IDs, and inline references; (4) version banner on page one showing QOS version and aligned eCTD sequence (“draft” vs “effective”); (5) regional note that records phrasing changes only, never numbers; and (6) a three-item archive pack: QOS PDF, parity/traceability report, and change index.
Assign clear owners. Name one owner for each high-risk block: spec table, validation matrix, stability wording, control strategy map, and identity strings. Give each owner a short checklist (five lines is enough) and a sign-off box on the QC cover page. Keep the QC cover with the QOS in the archive.
Measure and improve. Track a few simple KPIs: first-time-right rate for QOS parity (>98%), number of IRs tied to QOS issues (target zero), cycle time from draft to dispatch, and number of “format/navigation” comments per sequence. Review these monthly and fix the step that fails most often. Small, steady improvements bring the biggest gains.
Authoring style. Use simple English and one idea per sentence. Avoid persuasive language. Each value, limit, or claim should have a clear pointer to the 3.2 table or report.
